Project Guide

For company owners:

Project Guide needs some basic configuration so that it is able to track hours for your projects. It’s very easy; you only have to follow 6 steps:

1) Create project and client Tags:

a. Go to ConfigurationTags and create one for each category (one for ‘client’ and one for ‘project’). For example, you can create the tag fdv for the client Fdv Solutions.
These tags will easy time-tracking by chat.

2) Create project roles that will be available to your projects.

For example: In a software development company, common roles are ‘analyst’, ‘developer’, etc.

 a. Go to Configuration -‘Roles’ and create needed roles.

3) Invite co-workers or friends that will be part of your company. After that, you will be able to assign them a project or task.

a. Go to ‘Home’ and click on the ‘Invite your co-workers and friends’ link.

b. Enter the invitee GMAIL email.

4) Create a project.
(At this point, you need to have both ‘client’ and ‘project’ tags created, and at least one role.)

a. Enter project name and description.

b. Enter the starting date and ending date.

c. Specify both project and client tags.

d. Indicate if this project will be considered active or not.

5) Create an assignment.
Once new users have joined your company, you can create assignments.
Or you can assign a project or task to yourself.

a. Go to Configuration -‘Assignments’ and create a new assignment.

               i.       Select a Project.

               ii.      Select a User.

               iii.     Select the role the user will play.

               iv.     Specify start and end date user will be working for this project.

               v.      Enter a description for this assignment.

b. Repeat this step for each user.

6) Now you are ready to meet Jenna!

Jenna is Project Guide secretary. She will be tracking hours by asking about time spent and how it was spent for each assignment. She will also be tracking user mood and asking about any new knowledge acquired.

 Users will be able to enter hours by using the GTALK chat client or by using the web interface.

 Notice that a valid GMAIL account is needed to chat with Jenna.

 The company owner will be able to see time spent by users by checking the ‘Efforts’ section. After selecting a user, a calendar displaying user time spent will be shown.

 Notice that Jenna won’t be tracking hours as long as you don’t create assignments.

 Whenever you want to interact with Jenna, you can ask her for ‘help’ and she will tell you about the available list of commands.

I’m a simple company user:

After the company owner has created assignments for you, you will be able to track time spent within your assignments.

 You can login into the web application here ( http://fdvlabs.com/projectguide ).

— You can track your hours using the web application.

It’s very easy; you only have to follow 2 steps:

 1)  Go to ‘My Information’ -‘My Efforts’

 2) Click on the day you want to enter hours.

         a. Specify amount of hours spent.

         b. Select an assignment.

         c. Enter a comment to specify what you have been doing.

 Notice that you won’t be able to enter hours for a day unless you have a valid assignment available within selected date.

— Or you can track your hours with Jenna’s help:

1)  Write Jenna: ‘enter hours’ and send the message.

2)  Jenna now is going to ask you for your assignments, any new knowledge and about your day.
